The Assistant Property Manager is responsible for assisting the Property Manager with several properties. Responsibilities involve a broad range of property management functions, including, but not limited to: service requests, emergency calls, tenant and vendor management, accounts payable, tracking tenant payments and gross sales.
Responsible for accurate administration of commercial retail lease files and operating document files and, at the direction of PM or SPM, abstracting of same
Provides strong organizational support to SPM
Assist with bid process
Assist with the preparation of monthly financial reports
Prepare 3-day or 5-day notices to pay or quit, rent increase/adjustment notices and other necessary tenant correspondence
Conduct property inspections and monitor maintenance work
Under PM or SPM guidance – coordinates preparation and distribution of annual tenant notices of prior year CAM reconciliation receivables or credits, including all necessary backup discs to Majors
Under PM or SPM guidance - coordinates with other departments (acquisitions, dispositions, construction, accounting, finance and leasing) in relation to property management function. (i.e. preparation of tenant move-out forms, posting of notices of non-responsibility, write-off requests, submission of lease abstracts prepared and/or approved by PM or SPM, printing & submission of monthly financial reports once completed and approved by PM or SPM
Establishes and maintains excellent working relationships with all tenants and vendors as required
Trains property administrator and temporary staff in department processes and procedures as needed
Under PM or SPM guidance - Works with new tenants to ensure timely opening and rent commencement
Bachelor degree or 2 years related experience; or equivalent combination of education and experience
Proficiency with Microsoft Office: Must be able to create reports, analysis and budgets. Calculate figures, discounts, interests, commissions and percentages.
Experience using Yardi.
Strong written, verbal and presentation skills
Ability to write reports, business correspondence, and procedure manuals. To present information, respond to questions, and interact with managers, supervisors, customers, and co-workers.
Organizational, analytical and problem solving skills, along with excellent attention to detail. Must be able to prioritize work to meet deadlines and strategic goals
Able to work independently with a minimum of supervision. And to exercise discretion in confidential matters
Ability to read, analyze and interpret general business periodicals, technical procedures or governmental regulations a long with commercial leases
