Job Description
The Assistant Property Manager assists with all aspects of property management for assigned properties, including operational, financial and administrative duties for commercial property landlord with a portfolio of over 15 million square feet in throughout the U.S. This Assistant Property Manager position will be based in the Westchester, IL office and assist with a portion of the Chicago region portfolio consisting of approximately 1.39 mm sf, 5 towers and 1 building including 85 tenants.

Essential Functions/Responsibilities

  • Assists with daily oversight and ensures proper functioning of building operations.
  • Assists in coordinating with Accounting Department to ensure accuracy of tenant monthly rent statements, monitors delinquent lease payments and initiates collection activities when necessary.
  • Participates in customer service programs and initiatives designed to monitor and improve tenant relationship (Ex. Move-in orientations, tenant gifts, events and communications).
  • Assists with preparing annual operating and capital expenditures budgets and monthly variance and forecasting reports as required.
  • Prepares and/or reviews Account Payable invoices related to office operations, building maintenance, and capital expenditures in accordance with the established Financial Authority Policy.
  • Inputs and maintains insurance database for tenants and vendors and, where appropriate, coverage levels per lease of contract requirement.
  • Assists in the oversight of tenant improvements (Ex. Paint, carpet replacements) and capital projects (Ex. Building automation system, fire alarm system, restroom upgrades, garage structural work and sign replacement).
  • Ensures all tenant and property emergency information is accurate and responds to emergency situations in accordance with Arden policies.
  • Performs regular property inspections.
  • Administers all recurring service contracts (ex. Janitorial, security, pest control, landscaping, etc.) and coordinates activities of maintenance staff with 3rd party vendors.
  • Assists with access and/or shows space to prospective tenants.
  • Assists with reviews and audits Lease Abstracts, Rent Rolls, and Lease files.
  • Assists with the Operating Expense Recovery review and CAM calculations.
  • Assists with annual tenant fire life safety training and annual building fire alarm drills.
  • Assists with disaster recovery procedures, training and communication.

    Requirements
    Basic Qualifications:
  • High School Diploma/GED
  • Minimum 1 year of experience in a Commercial Real Estate management office performing similar or related functions
  • Intermediate skills in MS Word, Excel, and Outlook

    Eligibility Requirements:

    Desired Qualifications:

  • Minimum of 2 years of experience in a Commercial Real Estate management office performing similar or related functions
  • Experience in office building management
  • Experience working with vendor contract management
  • Repair and Maintenance (R&M) Projects
  • Accounts Payables and/or Receivables Experience
  • Bachelor Degree
  • MRI Software Experience
  • Strong tenant relations experience
  • Self-starter, positive attitude, and outgoing with the ability to work independently
  • Proven history of outstanding customer service skills
  • Ability to multi-task with a customer focused approach
  • Excellent written and verbal communication skills
  • Knowledge of basic accounting procedures
