The Administrative Assistant position provides high quality administrative support to the Building Manager and exceptional customer service to tenants and guests of the Northbank Center.
Fields tenant requests and phone calls and acts as Receptionist when Receptionist is not present
Coordinate conference room scheduling, use and billing
Processing rental payments and conducting monthly invoicing
Assists monthly parking payment reconciliation
Assists with regular audits of building and parking ramp access controls and assignments
Entering and reconciling payroll for contracted staff
Coordinates scheduling of building security
Assists with conducting regular walkthroughs of the building to assess maintenance issues and coordinates with appropriate personnel as needed
Track and follow up regarding Facilities Management and Information Technology Services work orders
Departmental process and procedure development, maintenance, and improvement
Maintains building directories, admittance lists, key inventory, and email lists
Maintains break room, coffee and water services, orders and stocks office and break room supplies
Acts as an emergency responder and maintains AED/CPR and First Aid certifications
Utilizes Yardi Property Management online interface to track billing and lease information
Utilize S2 and Milestone Software to maintain a secure environment
Maintain webpage and social media accounts and collaborate with student employees
High school diploma and at least one year of office experience
Excellent verbal/written communication skills. Demonstrated ability to work independently and cooperatively, prioritize and complete tasks in a timely manner.
Excellent attention to detail and organizational skills
Demonstrated customer service experience
Dependable, punctual, flexible with schedule
Demonstrated ability to work effectively with individuals from diverse communities and cultures

Associates or higher degree in business, Facilities Management, or related field.
Experience with Microsoft Office Suite, Yardi, EMS, Google Mail and Google Drive a plus.
Experience working in a law office environment, with government contracts, property management, or Facilities & Operations is a plus.
