The purpose of this position is to perform clerical duties of moderate complexity and difficulty in accordance with the office procedures of individual departments. May include a combination of answering telephones, bookkeeping, typing or word processing, stenography, office machine operation, and filing.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Codes & submits invoices via email then once invoices are input into system, code invoices in system and submit for approval and processing.
Postage meter tracking and funding
Replenish funds in meter in $2k increments
Pulls date off Postage meter and provide monthly spend detail with Journal Entry sheet to Accounting for Dept. reimbursement
Assists in placing Building maintenance calls
Contacts Property Management via portal to open tickets for general maintenance needs
Work closely with Day Porters to ensure that breakroom areas on all floors are being taken care of properly.
Assist with Onboarding & Offboarding Processes for departments
Submit Building Access Requests & Fitness Center and Cancellations
Establish Security Fob for floor access via inhouse Security System
Set up Parking or DART with various garages as specified/Cancel upon departure
Submit Rise Café authorization forms to HR Service Center for employee set up
Assist with other requests pertaining to onboarding & offboarding
Assist with ordering & monitoring Office supplies in the mailroom for general use & for team as needed for breakrooms and other areas within the spaces
1st Point of Contact for Aramark & Executive Refreshment on service calls and supply needs
1st Point of Contact for carpet maintenance and interface with Building Housekeeping teams (work closely with Building Services Clerk on Maintenance needs based on their weekly walkthrough to keep floors tidy and clean)
1st Point of Contact for Building Conference Room needs on 2nd floor (work closely with Team Admin and others as well as Building PM to coordinate rooms)
Assist as needed with ordering food or arranging for special needs such as chairs, tables, marker boards, AV equipment, etc.
1st Point of Contact for Copier Maintenance Calls to Xerox
Assist with Refresh of equipment
Assist with setting up New Hires as needed on Follow-up Printing
Assist as Point of Contact with Vendors as it relates to various needs such as Furniture, Iron Mountain Destruction, Breakroom Vendors, etc. where they need to be escorted to the various spaces for servicing the floors and equipment.
Assist Teams as needed on planning for lunches, happy hours and other events that are hosted at our location.
Interface with team members on needs and budget
Coordinate vendors and supplies for food and beverages
Make sure rooms are set up and assist during the event as necessary with set up and removal of product.
