The Facilities & Property Management (FPM) department at Portland State University is hiring a Lease Administrator to serve as a member of the Commercial Real Estate team supporting commercial lease agreements at PSU. We are seeking a tenacious and self directed person to join our small team of highly talented professionals and collaborate with colleagues within FPM and departments across university to optimize the tenant and campus community experience.
Under the guidance of PSU’s Commercial Property Manager, this position coordinates the property management program for FPM and works closely with third-party property management companies. The Lease Administrator is responsible for assisting with the overall management for PSU’s portfolio of commercial properties.
Primary duties include:
maintaining a positive relationship with tenants, vendors and contractors
handling maintenance requests and coordinating access to secured facilities and tenant spaces
contract preparation and review
tracking aged receivables and collection efforts on a monthly basis
annual reporting for internal departments and external partners, quarterly lease reports, and other administrative duties
scheduling meetings using an electronic calendar and taking and distributing detailed meeting minutes
Skilled in the use of Excel as an analytical tool and data tracker
Excellent written and verbal communication skills
Self-starter and team player with strong interpersonal skills
Ability to work well under pressure with strong personalities
Excellent organization, follow-through and follow-up
Be committed to providing exceptional customer service
Successful completion of a background check
Three years of experience administering or coordinating parts or subsets of a project or program
A Bachelor’s degree in Business Administration, Management, Public Administration, or field directly related to the position will substitute for two years of the required experience.
