The Director of Operations - Commercial Property Management is responsible for leading the property management team and for providing the Company’s full property management, financial analysis, operational reporting, and strategic direction for the management of real estate assets (retail/office/industrial/multi-family) located in Illinois and primarily the Chicago metropolitan area.
Provide leadership to a team of property managers and maintenance technicians by ensuring the following:
· Clarify roles and guide team members to achieve high performance.
· Oversee existing property management and site staffs and participate in the recruiting, hiring, and training of new staff members when necessary.
· Demonstrate a consistent level of leadership skill that elevates the performance of the entire property management team
· Serve as Subject Matter Expert (S.M.E.) on best practices in property management.
· Develop and facilitate training programs that assist in employee’s job knowledge and professional growth.
· Communicate, implement, and monitor the owners’ vision, strategies, and objectives by preparing annual business plans, operating and capital budgets, policies, and operating procedures.
· Present weekly reporting on team metrics and performance.
· Relay company directives to team members and hold team members accountable to all policies and procedures.
· Organize and host routine team meetings and monthly training meetings.
· Oversee staff scheduling, time management, and time off to ensure proper coverage.
· Interview, hire, and onboard new property management staff.
· Oversee performance for accountability purposes by gathering, analyzing, and interpreting data and metrics, providing staff performance reviews, and providing coaching as needed.
Through the property management team, manage the company’s operations by overseeing the following activities:
· Maintain the safety and integrity of buildings, systems, and equipment, and forecast future needs including capital requirements and improvements.
· Ensure that all operational and safety building systems are maintained in accordance with manufacturer’s recommendations, city codes, and the lease agreements, at a level consistent with or above industry standards.
· Identify, recommend, scope, and prepare request for proposals (contract services), bids (non-contract services), and oversee building improvements, consisting of operational and capital projects, tenant finish construction, and make ready construction.
· Perform routine site inspections of building interior and exterior, document findings, and take corrective action as needed.
· Respond to and handle building maintenance/repair services and improvement projects to include landscaping, snow removal, garbage removal, parking lots & sidewalks, masonry & facades, signage, roofing, HVAC, painting, electrical and plumbing systems, windows, doors, elevators, and floors. Negotiate contracts when necessary.
· Contract with and manage vendors for building maintenance/repair services and improvement projects to include landscaping, snow removal, garbage removal, parking lots & sidewalks, masonry & facades, signage, roofing, HVAC, painting, electrical and plumbing systems, windows, doors, elevators, and floors.
· Implement and oversee preventative maintenance programs and supervise all construction/tenant improvement work taking place at the properties.
· Assist with the acquisition and disposition of properties as it pertains to gathering, assembling, and logging of due diligence information as directed.
· Contract with and manage attorneys for contesting real estate taxes including providing property rent roll, financial, leasing and property value information.
· Contract with and manage insurance brokers to ensure the proper property insurance policy coverage is in place at the most cost-effective rates.
· In the event of a claim work with insurance companies and contractors to ensure property is properly repaired in a timely manner.
Property Expense & Revenue Management
Oversee property revenue and expense management through the following activities:
· Monitor and enforce all lease terms including timely billings, collection of rents and issuance of default letters.
o On an as needed basis monitor and work with outside counsel to resolve tenant collections and evictions.
· Identify, reconcile, and collect issues regarding all rents, escalations, and other charges as identified in the lease agreements.
· Assist in preparing annual budgets for operating and capital expenditures, identify mid-year trends and reforecast, as needed.
· Manage budget process and review operating statements and reports on a timely basis.
· Manage ownership distributions on a monthly, quarterly, semi-annual, or annual basis ensuring to meet and exceed each property owners’ goals.
· Manage and ensure that loan payments are being made per the loan documents.
· Develop relationships with banks and source loans on an as needed basis.
· Assist in preparation and collection of annual CAM reconciliations
· Prepare monthly operating reports, summarizing operational and leasing activity and analyzing variances.
· Manage operating costs and develop appropriate scopes of service for contracted vendors, bidding out services on an appropriate basis.
Education
- Bachelor’s Degree in Business Administration, Accounting, Finance, Engineering, or related business field.
- Certified Property Manager (CPM) or Real Property Administrator (RPA).
- Real Estate License
- Your Own Vehicle and State Driver’s License
Experience
- 7-10 years Retail/Office/Industrial/Multi-family Property Management experience
- 5+ years of experience in leading teams & managing operations
